As our business continues to grow, we are looking for a dedicated and detail-oriented female employee to join our team as a Machine Breakdown Complaint Coordinator.

Responsibilities:

Receiving Machine Breakdown Complaints:

  • Monitor and manage designated communication channels, including email, phone calls, and other platforms, to receive machine breakdown complaints from our clients.
  • Provide prompt and professional responses to acknowledge the receipt of complaints and assure clients that their issues are being addressed.

Documentation and Triage:

  • Create detailed and accurate records for each machine breakdown complaint received, including client contact information, complaint description, and machine specifications.
  • Prioritize complaints based on urgency and impact on client operations, ensuring timely resolution of critical issues.

Coordination with Technical Department:

  • Collaborate closely with our technical department to relay machine breakdown complaints and coordinate the dispatch of skilled technicians to address the issues promptly.
  • Ensure technicians receive comprehensive information about the problem and any relevant troubleshooting steps taken by the client.

Follow-up and Closure:

  • Monitor ongoing complaints and follow up with technicians to ensure that each issue is being effectively resolved within an acceptable timeframe.
  • Regularly update clients on the status of their complaints and provide estimated resolution timelines as needed.

Customer Communication:

  • Maintain a courteous and empathetic demeanor when communicating with clients, ensuring that they feel supported throughout the complaint resolution process.
  • Address any additional inquiries or questions clients may have during the troubleshooting process.

Data Analysis and Reporting:

  • Compile and analyze data related to machine breakdown complaints to identify patterns or recurring issues.
  • Generate periodic reports on complaint volumes, resolution times, and customer feedback to support continuous improvement efforts.

Requirements:

Communication Skills:

  • Proficient in written and verbal communication, with excellent grammar and clarity.
  • Ability to effectively interact with clients and technicians to ensure smooth communication and problem resolution.

Organizational Abilities:

  • Strong organizational skills to manage multiple complaints efficiently and prioritize tasks effectively.
  • Attention to detail in recording complaint information accurately.

Problem-Solving:

  • Ability to understand technical issues and convey relevant information to technicians for effective troubleshooting.
  • A proactive and solution-oriented approach to handling complaints.

Empathy and Patience:

  • Empathetic and patient when dealing with frustrated clients, ensuring a positive customer experience during the complaint resolution process.

Tech-Savvy:

  • Proficiency in using email, phone, and other communication tools for effective coordination.
  • Basic computer skills to manage complaint data and generate reports.
