Executive Administrative Assistant

Job Description 

The Ombud Council is a regulatory body established as a financial services body and public entity under the Financial Sector Regulation (FSR). Its role is in summary to oversee the functioning of the financial sector ombud system to ensure that financial customers have access to effective alternative dispute resolution processes for complaints about financial institutions. The Ombud Council is seeking an Executive Administrative Assistant.

Purpose of the Role:

To provide administrative support to the Chief Ombud/CEO and the two Heads of Department, being the Heads of Regulation and Oversight and Operations, to ensure the smooth day to day running of the Offices of the CEO and the two Heads of Department covering tasks such as scheduling; reviewing, prioritising and responding to emails; answering and returning phone calls; organising documents; maintaining records; providing support in relation to Board Secretariat functions; taking notes at meetings and any other administrative tasks that help the executives perform their duties and fulfil their responsibilities.

Key Performance Areas:

Scheduling and diary management, secretarial functions, office management, administration and coordination, travel management, event planning and correspondence handling.

Other Key Competencies:

The candidate must demonstrate the following skills and attributes:
In-depth understanding of office management. Experience in minute-taking. Proven experience in developing presentations, formatting of large documents, experience of supporting more than senior level persons, preferably more than one senior person, with secretarial and administrative services, an excellent command of the English language and good writing and communication skills, Excellent computer literacy is essential especially in MS Outlook, MS Word, MS PowerPoint and MS Excel. Experience in applying the above skills in the public sector and / or in a regulatory or legal environment will be an advantage.
