Based in Vancouver the Executive Assistant, Development will report to the Senior Vice President, Development, and work closely with all members of the Development team supporting them to advance the BC development program. The Executive Assistant will require strong attention to detail and the ability to organize, prioritize and manage time in a fast-paced environment working towards bringing tasks to completion.

As an Executive Assistant, Development You Will:

  • Provide direct administrative support to the Senior Vice President, Development.
  • Maintain the SVP’s calendar, reschedule conflicts as needed. Liaise with internal staff and JV partners for organizing meetings/conference calls, reserve meeting rooms. Organize catering when required.
  • Manage and mentor the Administrative Assistant, Development.
  • Prepare correspondence, memos, agendas and reports frequently of a confidential, strategic and/or specialized nature.
  • Liaise with internal and external partners for approvals for agreements, invoices, and apply SVP’s signature.
  • Maintain SharePoint site for the West; add new members and provide training where needed. Assist the team with filing correspondence in SharePoint.
  • Register development team members for industry related events (i.e., Urban Development Institute (UDI), Urban Land Institute (ULI), and National Association Industrial Office Properties (NAIOP). Maintain UDI QuadReal members list; add/delete new members.
  • Process, code expenses in Workday for corporate expenses and charge backs for projects.
  • Assist in preparation of PowerPoint presentations. Research information for the executive and gather information from appropriate sources.
  • Coordinate travel arrangements for the executive including flight, hotel, and address all special requirements, enter travel plans into their calendar.
  • Event Planning; organize team summer event, year-end holiday party, and any other events that may arise. This may also include invitations, seating arrangements, menu planning, etc.

Your Background:

  • Minimum 3-5 years of experience as an Executive Assistant supporting one or more leaders working in a corporate, development, real estate or construction company preferred.
  • Ability to effectively partner and liaise with all levels of the business and develop and sustain cooperative working relationships with internal staff, and external contacts. Able to adapt to different communication styles.
  • Must be extremely proactive, think fast, work well in a collaborative environment, and be able to multi-task in a fast-paced environment.
  • Ability to allocate time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands, competing priorities and adapt to new ideas and constant changes.
  • Advanced knowledge of Microsoft Word, PowerPoint, Excel and SharePoint, and ability to adapt to technology and learn different systems. Advanced proficiency in spelling, punctuation, and grammar.
